# Shop settings and permissions: import defaults, due dates, brands, production and access

||| **Not live for everyone yet.** The Shop is rolling out to a closed pilot first, so some accounts don't see it yet.

The Shop's settings live with the rest of your account's settings, under **Settings > Shop** (`/panel/settings/shop`). The gear button on the Shop page opens them too. This article goes through every section, the import settings that decide what happens after an order arrives, and the Shop's permissions.

|| The Shop is part of the Print Farm and Enterprise plans. During the pilot an account also has to be in the pilot to see it.

## The settings sections
**Settings > Shop** has five tabs:

| Tab | What's there |
| --- | ------------ |
| General | Farm profile, automatic due dates, import defaults, how orders reach the print queue, brands |
| Connections | Your stores, their guided setup, import settings and queue routing |
| Production | The default item workflow and the order workflow (shown if you can manage workflows) |
| Locations | Shelves, stations and trays, with their scan codes and labels |
| Shipping | Packing review, and shipping integrations (coming soon) |

## General
- **Farm profile**: what you make and sell, and roughly how many orders a month. The Shop uses it to recommend settings. For example, when you sell in volume, guided setup says that bringing orders in automatically is recommended at the order volume you gave. Only account administrators see the farm profile. It never answers anything for you.
- **Automatic due dates**: **Assign due dates automatically** gives new orders without a due date one a set number of calendar days after they were placed (0 is the same day). It's the end of that day in your account time zone. Only new orders with a known placement time get one; existing orders and due dates you set are never changed.
- **Import defaults**: the import settings every store uses unless it overrides them (see below).
- **How orders reach the print queue**: a short reminder of the three steps: prepare the product (its Project, and the product's print mapping), review the order, release to the queue.
- **Brands**: the names you trade as, each with an internal code and currency. Products and orders can be grouped under a brand, and a manual order can be given one.

## Import defaults and store overrides
Every store follows the account's **Import defaults** unless the store's own page overrides a setting. On a store's page, each setting shows **Account default** or **Store override**, and **Use account default** removes an override. Guided setup can write its answers to every store or only one.

The settings that decide what comes in, from which orders to which data, are covered in [Connecting a store to the Shop](https://help.simplyprint.io/en/article/connecting-a-store-to-the-shop-guided-setup-import-rules-and-what-is-shared-ss2u94/). The customer-data switches are covered in [Shop customers and privacy](https://help.simplyprint.io/en/article/shop-customers-and-privacy-what-is-stored-importing-customers-and-erasure-g5u1fo/).

## What happens after an order arrives
These settings decide what the Shop does later in an order's life. All of them can be set per store:

| Setting | Choices | Default |
| ------- | ------- | ------- |
| When nothing has been sliced yet | **Put it in the print queue** (to be sliced there), or **Hold the order until it is sliced** | Put it in the print queue |
| When the store refunds an order | **Pause its queued prints**, or **Only flag it for review** | Pause its queued prints |
| When you ship an order here | **Mark it fulfilled in the store**, or **Leave the store as it is** | Mark it fulfilled in the store |
| Tell the customer when you ship | **Let the store email the customer**, or **Do not email the customer** | Let the store email the customer |
| When the store marks an order fulfilled | **Ask me**, or **Mark it shipped** | Ask me |
| Editing an imported customer | **Edit here; the store keeps its own copy**, or **The store owns them; do not edit here** | Edit here |
| Who owns a product's details | **The store - keep products updated from it**, or **SimplyPrint - store edits stop after import** | The store |
| Does this farm keep stock? | **Made to order - nothing is kept**, or **I keep stock** | I keep stock |

What each one does in practice is in [Shop orders](https://help.simplyprint.io/en/article/shop-orders-store-orders-manual-orders-review-and-release-mv1hd6/) (refunds, unsliced products), [Packing and shipping](https://help.simplyprint.io/en/article/shop-packing-and-shipping-pack-ship-and-mark-orders-shipped-in-your-store-69j2j7/) (marking shipped in the store) and [Shop inventory](https://help.simplyprint.io/en/article/shop-inventory-stock-items-movements-reservations-and-minimum-stock-rf2gge/) (stock).

## Production
**Production** decides what happens to work after it's printed. It's shown to users who can manage workflows.

- **Default item workflow**: one run is started for each item being made. Choose a workflow, or **No workflow - an item is done when it is printed**. The **Item finishing** starter moves an item on by itself: into finishing when its first piece is counted, and on to ready when every piece and step is done. With other workflows, each stage needs a person to press **Move** once its steps are done.
- **Order workflow**: one run for the order itself, for picking, packing and shipping. Choose one (such as the **Packing & shipping** starter), or **No workflow - the order has no steps of its own**. Without an order workflow, an order has no packing checklist and no Mark packed or Mark shipped until someone starts one.

**Switch to the starter** puts new items on the **Item finishing** starter. **Manage workflows** opens the workflow editor. A product can use a different item workflow from its own page. Changing a default affects new work only.

![Settings > Shop > Production: Default item workflow set to Item finishing and Order workflow set to Packing & shipping](https://storage.crisp.chat/users/helpdesk/website/-/f/f/2/2/ff22a914001c1000/08-shop-settings-and-permissio_1iujbzy.png)

How these steps show up on the floor is in [Production work](https://help.simplyprint.io/en/article/shop-production-work-the-work-page-clearing-plates-trays-and-finishing-steps-cvy4nw/).

## Locations
**Locations** holds your places: **Locations** (areas, rooms, racks, shelves, stations, dispatch) and **Containers** (order trays, totes, boxes, bins). Each can have a scan code, and **Print labels** prints labels for them. Inventory's **Inventory settings** link opens this tab too. See [Production work](https://help.simplyprint.io/en/article/shop-production-work-the-work-page-clearing-plates-trays-and-finishing-steps-cvy4nw/).

## Shipping
**Shipping** explains how shipping works today: open an order's **Pack & ship** tab to see the delivery address, the items ready to pack and where they are, then ship it there with a carrier and tracking number. A connected store is marked fulfilled too, unless its import settings say otherwise.

**Shipping integrations** (buying labels and tracking deliveries from SimplyPrint) are coming soon. Store connections are separate from shipping services.

## Permissions
The Shop has its own permissions, under **Shop** in each user group's permissions. **Access the Shop and see orders** is the base: every other Shop permission builds on it.

| Permission | What it allows |
| ---------- | -------------- |
| Access the Shop and see orders | Open the Shop: the overview, orders, work and floor screens, and which order a scanned printer or part belongs to |
| Manage orders | Create, edit, accept and cancel orders, release them to production, record finished parts, fulfil and ship them, and comment on them |
| Delete orders | Delete draft orders and orders that need action, as long as no stock was ever reserved for them |
| See customers | Open the customer directory and customer profiles, with their contact details, addresses and history |
| Manage customers | Create and edit customers, comment on them, and apply changes a connected store reports |
| Erase customers | Permanently erase a customer's personal data. This can't be undone |
| See products | Open the Products tab and product pages |
| Manage products | Create and edit products, variants, categories and brands, and map them to Projects, files and store listings |
| See stock | See stock levels, locations, trays and shelves, reservations and replenishment |
| Manage stock | Adjust and move stock, put finished parts away, reserve and dispatch stock, and set up locations and replenishment |
| Manage store connections | Connect, set up and disconnect stores, import their catalogs, and browse what they hold |

When the Shop was added to your account, existing user groups got these permissions to match what they could already do: every group with print queue access got the order, product, customer and stock permissions. Of those groups, the ones that could also see integrations got **Manage store connections**, and the ones that were also account administrators got **Erase customers**.

A few actions need more than a Shop permission:
- Connecting Etsy, guided setup, changing a store's import settings, saving a store's queue routing and setting up minimum stock need account administration.
- Finishing steps need **Complete workflow tasks**, and letting work move on without a required step needs **Waive required workflow steps**. The **Production** tab needs **Manage workflows**.
- Clearing plates needs the **Clear bed** permission and access to the printer; packing slips need **Generate filament labels**.
- A store's connector acts as the user who connected it, so that user needs **Manage store connections**.

See [User groups and permissions](https://help.simplyprint.io/en/article/user-groups-and-permissions-what-each-one-controls-1284ueh/) for how to change them.

## Plans and the pilot
The Shop is part of the **Print Farm** and **Enterprise** plans. The School plan leaves it out, together with Projects, which the Shop is built on.

While the Shop is in a closed pilot, the plan alone doesn't switch it on: the account also has to be in the pilot. A Print Farm or Enterprise account outside it has no Shop in the sidebar, and opening the Shop page shows "The Shop is in a closed pilot" instead of an upgrade offer. Workflows rides the same pilot, so outside it the Workflows pages are hidden too.
