Setting up a Microsoft Teams Webhook - send Teams messages on a certain event

In this guide, we'll show you how to use the Webhooks feature in SimplyPrint to send a Webhook to Microsoft Teams, allowing you to set up a SimplyPrint "bot" in a Teams channel, that posts a message whenever a certain event happens.

Note that this guide is for the relatively-new Teams "Workflows", and not for "Connectors". Teams Connectors are about to be deprecated.

1. Can SimplyPrint Webhooks send private Teams messages? ("DM")


Yes, if you select "Post to a chat when a webhook request is received". This guide focuses on channel messages.

2. What can be sent as Webhooks?


SimplyPrint supports sending a lot of events via Webhooks. Go to the SimplyPrint Settings > Webhooks to see more!

3. Is it easy to set up Webhooks?


It's super easy! While it may sound complicated, everyone can set up webhooks, and following this guide will allow you to do so in 1-3 minutes!

4. Are Webhooks free in Microsoft Teams?


Unfortunately, Microsoft Teams Webhooks via their "Workflows" feature are only available to paid Teams plans (businesses, schools, etc.) and not on the Free plan - so you can't use it with the regular Teams "Communities"

How Webhooks for Microsoft Teams work



When setting up a Webhook in your SimplyPrint settings, use the Microsoft Teams Webhook URL, and SimplyPrint will format the message appropriately for Teams.

Setting up a SimplyPrint -> Microsoft Teams Webhook via "Workflows"



Step 1: Open Microsoft Teams, ensure you have admin access, click the "..." and select "Workflows"




Select the "Post to a channel when a webhook request is received" template (or choose "Post to a chat" for private messages).



Step 3: Select your Team and Channel


Pick your Teams team and the channel you want to post messages in, then click "Create flow".



Step 4: Workflow added - Copy the URL


Your Workflow is ready! Copy the provided webhook URL—you'll need this for the next step.



Step 5: Go to SimplyPrint Settings > Webhooks > Create Webhook


Create a new Webhook in SimplyPrint, give it a name, select events, and paste the Teams webhook URL.



Step 6: Done! Go test it!


That's it! You can test the webhook directly from the SimplyPrint settings.

When it's finished, editing the workflow in Teams will look like this:

Verify the Webhook still exists in Teams

Verify the Webhook is enabled in SimplyPrint settings

Check subscribed events in SimplyPrint settings

Try setting it up again if issues persist
