Shopify and the Shop: what syncs, mapping, marking orders fulfilled and disconnecting

Not live for everyone yet. The Shop is rolling out to a closed pilot first, so some accounts don't see it yet. The SimplyPrint app for Shopify isn't on the Shopify App Store yet: during the pilot, SimplyPrint sets each pilot farm up with it directly.

A Shopify store connects to the Shop through the SimplyPrint app, installed in your Shopify admin. Once it's connected and set up, your Shopify products and orders come into SimplyPrint, each order prints the right variant, and shipping it in SimplyPrint marks it fulfilled in Shopify with its tracking number.

This article covers everything after the app is installed: what comes across, mapping Shopify variants, the permissions you can give the app in Shopify, marking orders fulfilled, refunds and cancellations, and disconnecting. Installing the app is guided by SimplyPrint during the pilot. The steps that are the same for every store are in Connecting a store to the Shop.

The Shop is part of the Print Farm and Enterprise plans. The person who connects the store needs Manage store connections in SimplyPrint.

How a Shopify store is connected

The SimplyPrint app runs inside your Shopify admin and links the store to one SimplyPrint account. Each Shopify store is its own connection, so a farm with two Shopify stores has two, each with its own import rules. The store then shows under Settings > Shop > Connections, where you set it up like any other store: guided setup, import rules, data sharing and queue routing.

On the store's page, Open store opens your store's own address, and each order and customer from Shopify links straight to it in Shopify.

What comes across from Shopify

Products, under your data-sharing switches:

  • Title, SKU, and the main product photo
  • Variants with their option names and values (Size: Large, Color: Walnut), SKUs and prices
  • Plain-text descriptions
  • Collections and tags, for your printing and import rules
  • Product type and vendor

Orders:

  • Each line with its variant, quantity and price, plus order totals, shipping, discounts and taxes
  • Payment status, including partly and fully refunded, and refunded quantities per line
  • Order tags, if allowed, for order rules
  • Customer names, emails, phone numbers and addresses, if allowed and if customer access is allowed in the app (see below)
  • The buyer's checkout note, if allowed

Changes in Shopify reach SimplyPrint as they happen: Shopify tells the app, and SimplyPrint reads the product or order again under your current rules. With Automatically update imported orders and Automatically update imported products on (the defaults), edits keep arriving.

Mapping Shopify products and variants

Each Shopify variant is a store variant to map. A "Hex desk organizer" with sizes Small, Medium and Large is three variants, and each maps to its own size variant of your Project. Auto-map matches uses Shopify SKUs first, so giving your Project variants the same SKUs as your Shopify variants makes mapping almost automatic. See Products and mapping.

To tell printed products from things you buy in, use a Shopify tag (such as 3d-print) or a collection in your printing rule. Collections are matched by Shopify's own ID, so renaming one in Shopify doesn't break the rule. Pick collections that hold only printed items; one holding your whole catalogue would mark everything as printed.

Permissions you give the app in Shopify

Some things need a permission granted in the SimplyPrint app in Shopify, not in SimplyPrint. Granting one doesn't need a reconnect: Shopify tells SimplyPrint straight away. The store's Available operations in SimplyPrint shows which are missing, with what to do:

To let SimplyPrint...

In the SimplyPrint app in Shopify

Until then, SimplyPrint says

Mark orders fulfilled when you ship

Allow marking orders fulfilled

"So SimplyPrint can mark an order fulfilled in Shopify when you ship it here. Give the SimplyPrint app this permission in Shopify; no reconnect needed."

Read customer details and the customer list

Enable customer access

"So SimplyPrint can read your Shopify customers. Give the SimplyPrint app this permission in Shopify; no reconnect needed."

Read stock counts

The inventory permission

"So SimplyPrint can read stock counts from Shopify. Give the SimplyPrint app this permission in Shopify; no reconnect needed."

Each one also needs the matching switch in SimplyPrint: shipping updates to the store, the customer data fields you want, or inventory quantities.

Marking orders fulfilled in Shopify

With Allow marking orders fulfilled granted in the app and When you ship an order here set to Mark it fulfilled in the store (the default), moving an order to Shipped in SimplyPrint fulfils it in Shopify, usually within a few minutes:

  • Every open line is fulfilled in one go, including items that weren't printed.
  • The tracking number and carrier go with it, and a tracking number added or changed later is sent too.
  • Tell the customer when you ship decides whether Shopify sends the buyer its shipping email.
  • A retry after a lost answer never fulfils twice.

The order page shows "Marked fulfilled in" followed by your store's name, or, if Shopify refused, the reason and Retry. See Packing and shipping.

When an order is fulfilled in Shopify first

If you fulfil an order in Shopify yourself (for example with a Shopify Shipping label), SimplyPrint sees it. With When the store marks an order fulfilled on Ask me (default), the order shows "Fulfilled in Shopify" with Move to Shipped and Keep current order. With Mark it shipped, a packed order moves to Shipped by itself, with Shopify's tracking number. Nothing is sent back to Shopify either way.

Refunds, cancellations and deleted products

  • Refunds. A full refund in Shopify pauses the order's prints that haven't started (with the default Pause its queued prints), and the order offers to remove the work from the queue or resume printing. A line refunded in full pauses that line only; a line refunded in part is flagged for review.
  • Cancellations. A cancelled Shopify order shows Cancelled in store and waits for Review store cancellation.
  • Edits. A changed order waits as Source update needs review; see Shop orders.
  • Deleted products. A product deleted in Shopify shows Deleted in followed by your store's name, and its mapping is kept. If no other store sells it, the product becomes inactive. Shopify can't restore a deleted product: re-creating it gives it a new ID, so it arrives as a new listing to map.

Customers from Shopify

With customer access allowed in the app and the customer fields switched on, Shopify orders arrive with the buyer's details, and Import customers can bring in your Shopify customer list. A customer imported from Shopify shows Open in Shopify. If the store's Editing an imported customer is The store owns them; do not edit here, the edit button reads Edit in followed by your store's name.

When a buyer asks Shopify to delete their data, Shopify tells SimplyPrint, and the same erasure as Erase customer runs for that buyer's data from this store. See Shop customers and privacy.

Disconnecting and uninstalling

A Shopify store is disconnected from the SimplyPrint app in Shopify, or by uninstalling the app.

  • Disconnecting stops syncing. Imported orders, products, listings and mappings stay in SimplyPrint, and reconnecting the same store brings back the same connection, with every mapping live again.
  • Uninstalling stops syncing in the same way. About 48 hours later, Shopify asks SimplyPrint to erase the store's data, unless you reinstall the app first. What was printed stays in your production history.

Troubleshooting

  • "The order is on hold in Shopify. Release the hold there, then retry." Shopify won't fulfil an order on hold.
  • "SimplyPrint is not allowed to mark orders fulfilled yet. Allow it in the SimplyPrint app in Shopify, then retry." Grant Allow marking orders fulfilled in the app.
  • "Nothing on the order is left to fulfil in the store; it may already be fulfilled there." Check the order in Shopify.
  • "The store has more than one fulfilment from an earlier attempt. Check the order in the store." Look at the order's fulfilments in Shopify and tidy them up there.
  • "Reconnect this store to SimplyPrint." The connection is no longer active; reconnect it from the app.
  • Shopify orders arrive with no customer or address. Check the customer fields in the store's data-sharing switches, and that customer access is allowed in the app.
