WooCommerce and the Shop: what syncs, mapping, completing orders and disconnecting

Not live for everyone yet. The Shop is rolling out to a closed pilot first, so some accounts don't see it yet. During the pilot, SimplyPrint sets each pilot WooCommerce store up with the SimplyPrint plugin directly.

A WooCommerce store connects to the Shop through the SimplyPrint plugin, which runs in your WordPress admin under WooCommerce > SimplyPrint. Once it's connected and set up, your WooCommerce products and orders come into SimplyPrint, each order prints the right variation, and shipping it in SimplyPrint can complete the order in WooCommerce with its tracking number.

This article covers everything after the plugin is set up: what comes across, mapping WooCommerce variations, the permissions you give in WordPress, completing orders when you ship, refunds and deleted products, what WooCommerce doesn't send yet, and disconnecting. Installing the plugin is guided by SimplyPrint during the pilot. The steps that are the same for every store are in Connecting a store to the Shop.

The Shop is part of the Print Farm and Enterprise plans. The person who connects the store needs Manage store connections in SimplyPrint.

How a WooCommerce store is connected

The plugin links one WooCommerce store to one SimplyPrint account. Each WooCommerce store has its own connection, with its own import rules. The store then shows under Settings > Shop > Connections, where you set it up like any other store: guided setup, import rules, data sharing and queue routing.

Some features depend on the plugin's version. When yours is too old for one, the store's Available operations in SimplyPrint says which version it needs: "Update the SimplyPrint plugin in WooCommerce to 0.1.42 or newer to mark orders fulfilled."

What comes across from WooCommerce

Products, under your data-sharing switches:

  • Name, SKU, and the main product photo
  • Variations, with every attribute as its own option (Size: 10 Inch, Finish: Matte), SKUs and prices
  • Plain-text descriptions
  • Product tags, for your printing and import rules, and categories where the plugin offers them

Orders:

  • Each line with its variation, quantity and price, plus order totals, shipping, discounts and taxes
  • Payment status: paid, partly refunded, refunded, or pending (for cash on delivery)
  • Refunded quantities per line

Changes in WooCommerce reach SimplyPrint as they happen: the plugin tells SimplyPrint, and SimplyPrint reads the product or order again under your current rules.

Mapping WooCommerce products and variations

Each WooCommerce variation is a store variant to map. A variable "Hex planter" with sizes 10 cm, 15 cm and 20 cm is three variations, and each maps to its own size variant of your Project. Because every attribute comes across separately, mapping rules can match on one of them, such as every variation whose Size is "15 cm". Auto-map matches uses SKUs first, so giving your Project variants the same SKUs as your WooCommerce variations makes mapping almost automatic. See Products and mapping.

To tell printed products from things you buy in, use a WooCommerce product tag (such as 3d-print) in your printing rule.

Permissions you give in WordPress

Some things need a permission granted in WordPress, under WooCommerce > SimplyPrint. Nothing outside your store can grant them. The store's Available operations in SimplyPrint shows which are missing:

Notes

Complete orders when you ship

Allow marking orders fulfilled

No reconnect needed

Read stock counts

Authorize inventory reads

Re-runs the store's connection from WordPress

Import your registered customer accounts

Authorize customer directory

Each one also needs the matching switch in SimplyPrint: shipping updates to the store, inventory quantities, or the customer directory and its fields.

Completing orders in WooCommerce when you ship

With Allow marking orders fulfilled granted in WordPress and When you ship an order here set to Mark it fulfilled in the store (the default), moving an order to Shipped in SimplyPrint completes it in WooCommerce, usually within a few minutes:

  • The order's status becomes Completed in WooCommerce, for the whole order.
  • An order note records it, with the tracking number. If the WooCommerce Shipment Tracking extension is installed, the tracking number and carrier go there too.
  • Tell the customer when you ship decides whether WooCommerce sends the buyer its completed-order email. Do not email the customer suppresses it for orders SimplyPrint completes.
  • A retry after a lost answer never completes it twice, and WooCommerce's own update afterwards isn't mistaken for a change to review.

The order page shows "Marked fulfilled in" followed by your store's name, or, if WooCommerce refused, the reason and Retry. See Packing and shipping.

If an order is completed in WooCommerce first, the order in SimplyPrint shows "Fulfilled in WooCommerce" for review, with Move to Shipped (or moves on by itself, if the store's When the store marks an order fulfilled is Mark it shipped).

Refunds, cancellations and deleted products

  • Refunds. A full refund in WooCommerce pauses the order's prints that haven't started (with the default Pause its queued prints). A line refunded in full pauses that line only; a line refunded in part is flagged for review.
  • Cancelled or failed orders wait for your review on the order.
  • Deleted products. A product moved to the trash in WooCommerce shows Deleted in followed by your store's name, and its mapping is kept. If no other store sells it, the product becomes inactive. Restoring it from the trash brings back the same listing, mapping included.
  • Draft, private and scheduled products are read like any other.

Buyer details on WooCommerce orders

WooCommerce orders arrive in SimplyPrint without the buyer's name, email or address for now, whatever you allow in the data-sharing switches. The order page says so: "WooCommerce does not send the buyer or their address to SimplyPrint yet. Both are on the order in WooCommerce."

So for WooCommerce orders, take the shipping address from the order in WooCommerce when you pack. Everything else (mapping, release, production, packing and completing the order on ship) works as usual.

Your registered WooCommerce customer accounts can still be imported with Import customers, once Authorize customer directory is granted in WordPress. See Shop customers and privacy.

Disconnecting

A WooCommerce store is disconnected from the plugin, under WooCommerce > SimplyPrint in WordPress, or by removing the plugin.

Disconnecting stops syncing. Imported orders, products, listings and mappings stay in SimplyPrint, and reconnecting the same store picks them up again. Orders placed while it was disconnected aren't pulled in by themselves; use Import orders to bring them in.

Troubleshooting

  • "Update the SimplyPrint plugin in WooCommerce to ... or newer to ..." Your plugin version doesn't support that feature yet. During the pilot, SimplyPrint provides plugin updates to pilot stores.
  • "This store has no trusted SimplyPrint endpoint configured yet. SimplyPrint sets that up; the store cannot." The store's connection hasn't been finished on SimplyPrint's side yet. This is part of the guided pilot setup.
  • "SimplyPrint is not allowed to mark orders fulfilled in this store yet." Choose Allow marking orders fulfilled under WooCommerce > SimplyPrint, then Retry on the order.
  • "The order is cancelled, refunded or failed in the store, so it cannot be marked fulfilled there." Nothing to send; check the order in WooCommerce.
  • WooCommerce orders have no customer. That's expected for now; see "Buyer details on WooCommerce orders" above.
  • A variation shows no options. Check that Variant option names and values is allowed in the store's data-sharing switches.
