Printer notes: leave a note on a printer for the next shift
A printer note is a short message that stays with the printer, such as "Fan rattles above 80%" or "Use the textured plate only". Everyone who works with the printer sees it, so the next shift knows what the last one found, without a sticky note on the machine.
Where the note shows
Once a printer has a note, it shows:
- On the printer card, as a note icon. Hover it to read the note.
- On the printer's page, in the Note for printer box.
- In the start print window, at the top, before you pick a file.
- In 1-Click Print and the Clear bed window, under the printer's name.
- In the printer's settings, under General, as Note for printer.
Add or edit a note
- Open the printer's ... menu, on the printer card or on the printer's page.
- Choose Add note, or Edit note if the printer already has one.
- Write the note and click Save.
You can also edit it right on the printer's page:
- On the printer's page, find the Note for printer box. Without a note it is collapsed: click Add note, or the "Leave one for whoever uses this printer next." text.
- Write the note. A note can be up to 500 characters.
- Click Save, or press Ctrl+Enter (Cmd+Enter on a Mac). Escape cancels.
To remove a note, empty the text and save.
Who can read and write notes
Reading and writing notes are their own permissions, apart from editing the printer. Someone on the floor can leave a note without being able to change the printer's settings.
Permission | What it does | Who has it by default |
|---|---|---|
See printer notes | Shows a printer's note everywhere it appears | Every user group |
Edit printer notes | Write and change notes, from the printer's page, its ... menu or its settings | Groups that can edit printers |
Without See printer notes, the note does not show anywhere, including in the printer's settings. With it but without Edit printer notes, the note shows but the field in the printer's settings is read-only and there is no Add note or Edit note. To change who has them, see User groups and permissions.
Every change to a note is recorded in the account's audit log as Update printer note.
Notes and maintenance
A note is for anything the next person should know. A fault that needs fixing is better reported as a problem: open problems show as a red flag on the printer card, and a maintenance job can resolve them. See Reporting and resolving printer problems.
